Konsentra as Case Study“With the help of our Trapeze software we are able to offer our customers the best possible trip experience! BACKGROUNDKonsentra as is a subsidiary of Ruter As, Norway, and it mediates about 1.2 million trips per year in Oslo and in a number of municipalities in Akershus County, together creating the largest and most populated region in Norway. The company coordinates, plans and provides school transportation services for the disabled community, non-emergency medical trips, as well as operation of call centers for their clients. PROBLEMPrior to choosing Trapeze, Konsentra as was lacking command over the trip demands received by mail, fax and e-mail. If something went wrong along the way, they wouldn’t know about it until they would receive a complaint from the school, parents, students or drivers. Erik Holmeide, Managing Director from Konsentra as said: “We just had little control over the cost of our trips and we knew nothing about our performance from planners and drivers. Our objectives were mainly to simplify planning, because with the old system we got into serious trouble each time a planner was sick or on vacation. We were looking for an automated system with proper billing capabilities and to generate reports that we could use to improve our trips and planning.” SOLUTIONAfter consulting with Trapeze experts, Konsentra as selected a number of solutions which include a complete planning and booking module, automatic dispatch to the vehicles, an AVL module and a Web-enabled certification module. The principal demand response transport application is developed to support tasks like client registration, trip booking, real-time scheduling and dispatching. The other solutions include an in-vehicle driver application that displays manifests, and two-way GPS and data messaging application that provides real-time vehicle location and schedule adherence information. To help manage the student registration process from the initial request to the final approval or denial of service, Konsentra as chose Web-enabled certification module a customized version called SchoolWEB. The SchoolWEB solution is build upon the new development platform from Trapeze called NOVUS, and integrates 450 schools in the Oslo Region via a basic Internet Explorer entry. Each school uploads the students travel requirements and eligibilities to the SchoolWEB database, and the regional case workers makes the decision for approval. The SchoolWEB system supports ‘letter address merging’, so any correspondence to the student or their parents is completely automated. Konsentra as has selected a Web portal for the school students from Trapeze Group Europe that will go live in Q3-2008. It will be called SkoleWeb (‘SchoolWEB’) and will enable the students or their parents to view and make changes on their bookings. RESULTSBy utilizing the demand response solution from Trapeze, Konserta as can now track each trip from the subscription made by the school, all the way to the billing stage. “With this solution we now can follow each trip from its origin all the way back to ourselves, using reversed billing. Reports are now available with almost one keystroke and we have been able to simplify our planning methods and track each trip on the map, thanks to MDT. In the end we also saw that the Trapeze system was suitable to our purposes, the cost was significant lower than other system we could compare it to. Trapeze Group was very experienced compared to the other companies we were looking at,” said Holmeide. The solutions allowed Konsentra as to gain full control of their trips, from the application process to dispatching trips out to drivers. The number of trips they are able to accommodate has increased significantly: “We started out with the Asker area at 1200 trips per day and expanded within 4 years to 5 cover areas. With the help of templates we plan roughly around 3000 trips a day on 150 busses. The remaining 500-600 trips are distributed to various taxi companies directly from our Trapeze system,” explained Holmeide. The company measures performances and productivities each day and reports on the m at the end of the month. In April 2007 they averaged 3.24 trips per vehicle hour. Holmeide continued “We also measure what percentage of trips has been executed without problems during the last month (March 99.3 %) and finally how many trips we sent to the taxi companies (March 24.2%).” CONCLUSION“In the end our dedicated workers were determined to succeed, and as we got to know the system and as Trapeze Group Europe worked out solutions that suited our trips, we slowly got better and better. Today we are putting more trips on each vehicle per hour than any other companies worldwide that are using your demand response system and that are dealing with the same kind of trips (school, medical, work etc),” said Holmeide.
